Hairprint™ Privacy Policy

Hairprint™, a service developed and operated by The Hair Society, respects and protects the privacy of every user. This policy explains how information is collected, used, and safeguarded when you use the Hairprint™ mobile application (“App”). By installing or using the App, you agree to the terms described below.

1. Who We Are

Hairprint™ is owned and managed by The Hair Society, a professional association serving the non-surgical hair-replacement and trichology community. All personal data collected through the App is securely managed in accordance with this Policy and U.S. privacy standards.

2. Information We Collect

Hairprint™ may collect and store the following types of information:

Account Data – When creating or signing in to your account, the App collects your name, email address, and password credentials through Google Firebase Authentication.

Firebase manages and stores these credentials; The Hair Society never has access to your actual password.

Client Input Data – You may provide information such as client name, date of birth, gender (if provided), and one or more scalp images to generate an analysis report.

Device and Usage Data – Limited, anonymized data (e.g., device type, operating system, crash logs, and feature-use statistics) is collected to help maintain performance and stability.

Analytic and Diagnostic Results – AI-generated output such as scalp-condition summaries or recommendations is stored securely for your viewing and future reference.

3. How We Use Your Information

Collected information is used strictly to:

  • Authenticate and manage your account through Firebase;

  • Generate and deliver diagnostic and recommendation reports;

  • Process scalp-image analyses through OpenAI’s ChatGPT service using secure transfer via n8n agent software;

  • Improve App functionality, reliability, and user experience;

  • Provide technical support and respond to inquiries;

  • Perform internal analytics to enhance accuracy and performance.

4. Data Processing and Sharing

Hairprint™ and The Hair Society do not sell, rent, or share your personal data with any third parties for marketing or commercial gain. Information may be disclosed only in the following cases:

  • Service Providers – Data may pass through or be stored within trusted processors such as Google Firebase (authentication and storage) and OpenAI via n8n (AI analysis). These vendors operate under strict confidentiality and data-protection terms.

  • Legal Requirements – We may disclose data when required by applicable law, court order, or government request.

  • Internal Access – Authorized personnel of The Hair Society may access data solely for customer support, technical maintenance, or quality-assurance purposes.

5. Subscription and Billing Information

Hairprint™ offers auto-renewable subscription plans — Basic, Pro, and Unlimited — that unlock various usage levels.

All purchases are processed exclusively through Apple’s App Store / StoreKit In-App Purchase system.

The Hair Society does not collect or store any payment or billing data. Payment information is handled by Apple in accordance with the App Store Terms of Service. Users can manage or cancel subscriptions at any time through their Apple ID account settings.

6. Data Storage and Retention

All user data is stored securely in Google Firebase Cloud Storage and Firestore with encryption in transit and at rest. Scalp images and AI results are retained only as long as needed to deliver the analysis or maintain user records, after which they may be deleted or anonymized.

You may request deletion of stored data or your entire account at any time by contacting support (see Section 11).

7. Security Measures

The Hair Society employs administrative, technical, and physical safeguards, including TLS/SSL encryption, secure API calls, and limited staff access controls. While no system is entirely immune to risk, we continually monitor and update our security practices to protect against unauthorized access, loss, or alteration.

8. Your Rights and Choices

You may at any time:

  • Access / Update your profile data via the App;

  • Request Deletion of your account and stored information;

  • Withdraw Consent for data processing related to image storage or analysis;

  • Opt Out of optional communications.

Requests may be sent to [email protected], and will be addressed within a reasonable timeframe.

9. Children’s Privacy

Hairprint™ is not designed for users under 18 years of age. We do not knowingly collect personal data from minors without verified parental consent. If such data is discovered, it will be deleted promptly.

10. Third-Party Links and Integrations

The App may reference third-party websites or learning materials. These external links are provided for convenience; The Hair Society assumes no responsibility for their privacy practices. Please review each site’s policy before submitting personal information.

11. Changes to This Policy

This Privacy Policy may be revised periodically to reflect service or legal updates. The effective date above indicates the most recent version. Significant changes will be communicated within the App. Continued use constitutes acceptance of any modifications.
